Commissions: how they're worked out and how much to pay

Updated on Monday 02 November 2026

Where each professional's rate comes from, what comes off first, how to read the report, record the payout and send the statement.

With the Commissions module, Citauno records what each professional earns for every service they perform and every product they sell. You see what each one is owed for any period, record what you paid them and send them their statement to sign.

If you don’t see Commissions in the side menu, turn it on from More features: it’s a module included in your plan, at no cost. See More features.

Who sees it: the report, the payouts and the recalculation belong to the owner and admins. Each professional can see their own in their calendar, if you turn it on (see “What the professional sees” below).

When a commission is recorded

  • Services: when the booking becomes Completed, whether you marked it or the system completed it on its own: a Confirmed booking is completed 2 hours after the appointment ended. A Pending one never completes on its own. One line is recorded per service in the booking, for the professional who performed it.
  • Products: when you charge a sale in Checkout with a product that has Sold by set. It needs the Sales and invoicing module.
  • If something changes later: if you cancel a completed booking, or change its price or professional, the commission corrects itself. If that commission was already paid, it isn’t touched: the difference becomes a correction (see “What you paid doesn’t change”).

A service with no professional assigned earns no commission.

Where the rate comes from

For each service, Citauno uses the first rule it finds, in this order:

  1. The service, for that professional. On the service form, the Commission column of Price, duration and commission per professional. It can be a percentage or a fixed amount.
  2. The professional. The Default commission (%) field on their profile in Team.
  3. The business. Default commission (%) in Settings → Commissions.

If none has a value, the commission is 0. A 0 set on purpose counts too: it stops the search, and that professional earns no commission on that service.

Example: the business pays 40%. Lucía has 50% on her profile. On Coloring, you gave Lucía a fixed 60. Lucía earns 60 for every coloring and 50% on her other services; everyone else, 40%.

Products follow their own rule: the product’s commission, if it has one; otherwise the Commission on product sales (%) on the seller’s profile; otherwise the business’s, in Settings → Commissions.

Changing a rate applies to what is completed from now on. To fix what was already recorded, use Recalculate period (below).

What comes off before the calculation

The commission doesn’t always come from the list price. For each service the sum goes like this, in this order:

  1. Price. The service’s price for that professional. If the client used a session from a package, the package value per session.
  2. Minus the discount. If the booking used a discount code, this service’s share of it comes off. In Settings → Commissions, Commission calculated on chooses whether it counts the discounted price (what the client paid) or the list price (the discount doesn’t touch the commission). Each code can have its own setting under Professional’s commission: for example, the list price on a courtesy the business absorbs.
  3. Minus the material cost “before”. If the service has a Material cost set to Before the commission.
  4. Minus the admin fee. If you set a Salon admin fee in Settings → Commissions: a percentage of what is left or an amount per service, never more than what is left. For anyone who doesn’t pay it, tick Doesn’t pay the admin fee on their profile.
  5. What is left is the base. The rate applies to the base.
  6. Minus the material cost “after”. If the service has a Material cost set to After the commission, it comes off what the professional earns, never below zero.

Example: a 100 haircut with a 10 code, a material cost of 5 “before”, a 10% admin fee and a 40% commission. 100 − 10 − 5 = 85; the fee takes 8.50; the base is 76.50, and 40% is 30.60.

With a fixed amount, if the base ended up below the price (because of a discount, for example), the amount drops in the same proportion.

If the service uses Products it uses and you ticked Deduct materials from commission in Settings, those products’ cost comes off the price before the calculation. If the service has its own Material cost, that one is used and nothing comes off twice.

What was already earned doesn’t change if you later edit the material cost or the fee: the change applies to what is completed from then on.

The Commissions report

In the side menu, Commissions. Pick From and To and tap Update.

  • At the top: Earned in the period, Pending payout (with what was already paid under it), the entries and the team members.
  • One row per professional: their entries, the Total (services, products and staff purchases apart), Paid and Pending. If they have something unpaid from before, you see “+ … pending from earlier periods”.
  • Net: with the Expenses and bills to pay module, also their bonuses and deductions for the period and the Net. Those bonuses and deductions are paid through Expenses, not here.
  • View detail → opens the professional: each service and sale with its date, the booking or sale, the Base, the rate and its Source (Service, Professional or Business) and the Commission.
  • Export: the report (one row per professional) and each one’s detail (one row per line) as a spreadsheet.

How each line was calculated

Under each line of the detail, How it was calculated unfolds the sum: the price or the package value, the discount, the material cost, the admin fee, the base, the rate and where it comes from, and what it pays. It’s the answer to “why is this line lower?”.

Paying commissions

  1. In Commissions, tick one or several professionals and tap Pay selected, or Pay on one’s row or detail.
  2. Choose Up to: everything pending up to that date is paid, including what was left from earlier periods. You see each one’s Total to pay before confirming.
  3. Choose How you paid (cash, transfer, wallet…), the Payment date and, if you like, a Note.
  4. Tap Record payout. One payout per professional is saved.

A payout covers whole lines: there are no partial payouts. If what is pending changed between opening the screen and confirming (another booking was completed, for example), that professional’s payout isn’t recorded and we ask you to review the amounts and confirm again: exactly what you saw is paid.

Undo: on the professional’s detail, under Payouts, the latest payout has Undo. It’s cancelled and its commissions go back to Pending. Only the most recent one can be undone.

The statement

Every payout has its statement: each service, sale and correction it covered, the total and a Received in full line for the professional to sign. It doesn’t name clients. From the professional’s detail:

  • PDF, to print.
  • Send by email, with the PDF attached. It needs the email on their profile.
  • WhatsApp, with a link to the statement that works for 30 days.

If you undo a payout, its statement says VOID.

What you paid doesn’t change

A paid commission stays as it was paid. If that booking is later cancelled, or its amount or professional changes, the difference shows as a correction in the month it happened and adds to or comes off the next payout. That way the signed statement keeps matching.

Recalculating a period

If you notice a rate was set wrong, fix it and then:

  1. Go to Commissions → Recalculate period.
  2. Choose the dates (up to a year) and the professionals.
  3. Tap See what changes: you see how much changes for each one and on which lines, before anything is saved.
  4. Tap Apply. Only those service lines are recalculated, with today’s rules.

What is already paid isn’t recalculated: it’s listed apart as Paid, not recalculated. If you want to move it, undo that payout first. History keeps every recalculation: who, when and how much changed. Professionals get no message; they see the new figures in My earnings.

What the professional sees: My earnings

In Settings → Commissions you choose whether professionals see their own, under Professionals see their earnings:

  • No (the default): they don’t have the entry in their calendar.
  • Totals only.
  • Totals and detail: each service with its base and rate, and How it was calculated.

With Show them only the net, My earnings and the statement show what each service pays, without the base, the rate or what came off. You still see everything in Commissions. And if your business talks about a share rather than a commission, pick Share under What it’s called: the calendar and the statement use that word.

The professional opens My earnings from their calendar and picks This week, This month, Last month or Another period. They see only their own, with the same figures as your report. Amounts are hidden (••••••) until they tap Show amounts, so nobody reads them over their shoulder.

Once you record payouts, they also see Paid, Pending and their Payouts received, each with its PDF statement, and the Corrections if you show them the detail.

If they see nothing, check that their user is linked to their profile in Team and that the profile is active.
