Exceptional working hours per professional
Updated on Friday 22 May 2026
How to set different working hours for each professional, whether by day of the week or as a one-off exception.
By default, every professional inherits the location’s working hours. If the location is open Monday through Friday from 9:00 to 19:00, all professionals are too — and customers can only book during those hours.
But in practice, each professional has their own schedule:
- A colorist only comes in on Monday, Wednesday, and Friday.
- A hairdresser works half-days on Saturdays.
- The owner covers all the gaps.
This guide explains how to customize working hours per person.
Two types of customization
| Type | What it’s for | Permanence |
|---|---|---|
| Custom base hours | A recurring weekly schedule that differs from the location’s hours | Permanent |
| One-off exception | “I’m not coming in this Friday” or “I’m only working this Sunday” | A single date |
One-off exceptions are blocked time (see Block time). This guide covers base working hours.
Customize the base hours
- Go to Team and edit the professional.
- Scroll down to the Working hours section.
- You’ll see a “Use the location’s hours” toggle. Turn it off.
- A weekly grid appears with each day (Monday through Sunday):
- Open/closed toggle per day.
- Opening and closing time if open.
- Breaks (optional) — for example, from 13:00 to 14:00 for lunch.
Typical examples
Professional who only comes in 3 days a week
Monday: 09:00 – 18:00
Tuesday: Closed
Wednesday: 09:00 – 18:00
Thursday: Closed
Friday: 09:00 – 18:00
Saturday: Closed
Sunday: Closed
Customers can only book Monday, Wednesday, and Friday with this professional.
Half-day professional on Saturdays
Monday to Friday: 09:00 – 19:00 (with lunch 13:00–14:00)
Saturday: 09:00 – 13:00 (no break)
Sunday: Closed
Professional with multiple breaks
Monday to Friday: 08:00 – 20:00
Break 1: 12:30 – 13:30 (lunch)
Break 2: 16:00 – 16:30 (snack)
Tip: set up breaks carefully. If you overlap one break with another or set the end before the start, the system warns you.
Inherit from the location vs. customize
| When to inherit | When to customize |
|---|---|
| The professional works every day the location is open | The professional has specific days off |
| The hours match the location’s | The professional comes in later or leaves earlier |
| The owner who’s always there | Staff on rotating shifts |
If you inherit, future changes to the location’s hours are reflected automatically in the professional. If you customize, changes to the location do not affect the professional — their schedule stays fixed.
Different hours per location
If a professional works at multiple locations:
- Edit the professional.
- In each assigned location, you’ll see a sub-grid of working hours.
- Set different hours per location:
- Downtown Location: Monday and Tuesday 09:00–17:00.
- Neighborhood Location: Wednesday through Friday 12:00–20:00.
The system combines the hours and shows only the slots available based on the location the customer chooses.
What customers see
When a customer books on your public link:
- They choose a service.
- If you set up “Show professional selection” (see Business settings), they choose a professional.
- The system shows them only the available days and times based on:
- The professional’s working hours.
- The services that professional can perform.
- Existing bookings.
- One-off blocked time.
If the combination has no slots in the next X days (X = the business’s maximum booking window), a message appears: “No availability in the next X days,” and another professional is suggested.
Schedule changes and existing bookings
Already-confirmed bookings are not canceled if you change the hours. For example:
- A customer has a booking on Friday at 16:00.
- You edit the professional’s hours, and now they only work until 14:00 on Fridays.
- The existing booking stays the same — the system assumes you know what you’re doing.
What does change: future bookings can’t fill the hours you removed. And the next time a customer books, they no longer see Friday at 16:00 as available.
If you want the existing booking to move too, do it manually (drag and drop on the calendar or Reschedule from the booking details).
Common errors
| Symptom | Cause | Solution |
|---|---|---|
| The professional shows as “outside working hours” when they should be available | The “Closed” toggle was turned on by mistake for that day | Edit the hours and open it |
| The customer can’t book with a specific professional | The professional’s hours + the service’s + the slot interval produce no slots | Make sure the professional’s hours allow the service’s duration |
| The system rejects the hours I enter | You set closing before opening, or a malformed break | Check the numbers |
| I don’t see the customize option | Your role isn’t Admin or Owner | You need a role with edit permissions |
What you’ve got now
- Each professional with their own working hours.
- Different hours per location where it applies.
- A clear understanding of how this affects existing vs. future bookings.
Next step
For specific absences (vacation, a one-off day off), use blocked time. Continue with Block time (vacation, absences, maintenance).
