Exceptional working hours per professional
Updated on Wednesday 09 September 2026
How to set each professional's weekly schedule, copy it from the location's, and understand how the two combine.
Every professional on your team has their own weekly schedule. It isn’t optional and there’s nothing to switch on: the record is created with a grid of its own — Monday to Saturday, 09:00 to 20:00, Sunday closed — and you edit it from there.
In practice, everyone keeps their own agenda:
- One colourist only comes in on Monday, Wednesday, and Friday.
- A barber works half days on Saturdays.
- The owner covers whatever’s left.
This guide explains how to set that schedule and how it combines with the location’s.
Two kinds of customisation
| Type | What it’s for | How long it lasts |
|---|---|---|
| Weekly schedule | That person’s recurring agenda: which days and which hours they work | Permanent |
| Block | “I’m out this Friday” or “I’m taking two weeks off” | Specific dates |
This guide covers the weekly schedule. For one-off absences, see Block time.
Setting a professional’s hours
- Go to Team and edit the professional.
- Scroll down to the Member schedule section.
- You’ll see one row per day, Monday through Sunday, with:
- A Closed checkbox.
- Opening and closing time in HH:MM format.
- Breaks (optional) — 13:00 to 14:00 for lunch, for instance. You can add more than one per day.
- Beside each day, a 📍 reference showing the assigned location’s hours that day.
- Save with the button at the bottom of the form.
The “Copy from location” button
At the top right of the section there’s a Copy from location button. It copies the assigned location’s hours — breaks included — onto all seven days at once, overwriting whatever was there.
Copying one day onto other days
Each row has a Copy button on the right. Tapping it opens a panel listing the other days of the week: tick the ones that should match and apply. It copies hours and breaks.
That’s the quick way to set up a Monday-to-Friday: configure Monday, copy it to Tuesday through Friday, then adjust Saturday.
Typical examples
Someone who only works 3 days a week
Monday: 09:00 – 18:00
Tuesday: Closed
Wednesday: 09:00 – 18:00
Thursday: Closed
Friday: 09:00 – 18:00
Saturday: Closed
Sunday: Closed
Clients can only book Monday, Wednesday, and Friday with this professional.
Half days on Saturdays
Monday to Friday: 09:00 – 19:00 (lunch 13:00–14:00)
Saturday: 09:00 – 13:00 (no break)
Sunday: Closed
Several breaks in a day
Monday to Friday: 08:00 – 20:00
Break 1: 12:30 – 13:30 (lunch)
Break 2: 16:00 – 16:30 (snack)
Each break validates that the end time is after the start time. There is no validation that catches two overlapping breaks, so check them yourself: overlapping breaks don’t break anything, they simply block the union of both ranges.
How the location’s hours and the professional’s combine
Citauno offers a slot to a client only when both allow it. Concretely, for a slot to appear:
- The location has to be open that weekday. If the day is set to “Closed” on the location, there are no slots for anyone, however available the professionals look.
- The professional has to be open that day, and the whole appointment has to fit between their opening and closing time.
- The slot can’t fall inside a break — the professional’s or the location’s.
- It can’t overlap another booking for that person, or a block that reaches them.
- The appointment has to finish before the location closes.
So if you set a professional to 08:00–20:00 but the site opens 09:00–19:00, they’ll only take bookings from 09:00 to 19:00. The form flags this with “Exceeds location hours” next to the day. It’s a warning, not an error: you can save anyway, and the hours are simply clipped to the location’s.
What clients see
When a client books from your public link:
- They pick a location (if you have more than one) and services.
- If you turned on “Show professional selection to clients” in the business settings, they pick a professional.
- They see only the available slots, per the combination above.
If the chosen date has no openings, a message says there are no slots that day and suggests trying another date. Citauno does not automatically propose a different professional; the client can switch by hand.
Schedule changes and existing bookings
Confirmed bookings are not cancelled when you change the hours. For example:
- A client has a booking on Friday at 16:00.
- You edit the professional’s hours and now they only work until 14:00 on Fridays.
- The existing booking stays put — the system assumes you know what you’re doing.
What does change: future bookings can’t take the hours you removed. The next time a client books, Friday at 16:00 is no longer offered.
If you want the existing booking to move too, do it by hand (drag it in the calendar, or use Reschedule from the booking detail).
Common problems
| Symptom | Cause | Fix |
|---|---|---|
| A professional shows no availability when they should be free | The “Closed” box got ticked for that day | Edit the schedule and untick it |
| I set wide hours and the client sees a narrower window | The location closes earlier, and the location wins | Widen the location’s hours if that’s right |
| Nobody has slots on a whole day | The location is closed that day | Edit the location, not the professional’s record |
| I changed the location’s hours and professionals stayed the same | That’s expected: the copy is one-time | Open each record and tap “Copy from location” |
| A client can’t book with a specific professional | Their window doesn’t fit the service duration plus buffers | Check that the hours allow the whole block |
| I don’t see the hours section | Your role doesn’t reach Team | You need Admin or Owner |
What you’ve got now
- Every professional with their own weekly schedule and breaks.
- Clarity on how that combines with the location’s hours.
- An understanding of the effect on existing vs future bookings.
Next step
For specific absences (holidays, a day off), use blocks. Continue with Block time (vacation, absences, maintenance).
