Team and roles: owner, admin, member

Who can do what in Citauno. The differences between the 3 roles and when to assign each one.
Citauno defines three levels of access within a business. Each person invited to the dashboard has one of these roles. Knowing what each one can do helps you delegate without losing control.
The three roles
👑 Owner
The person who created the business. They have full access and permissions that no other role has:
- Change the plan or cancel the subscription.
- Set up billing (tax ID, tax details).
- View and add payment methods.
- Change the owner of the business (transfer).
- Delete the business.
There can only be one owner per business.
🛡️ Admin
The person who manages the day-to-day without touching the wallet. They can:
- Create, edit, and delete services, locations, professionals, customers.
- Confirm, reject, reschedule, and cancel bookings.
- Create and edit discount codes and promotions.
- View all of the business’s analytics.
- Configure notifications and WhatsApp.
- Invite and remove other admins and members (not the owner).
- Access all locations.
They cannot:
- Change the plan or cancel the subscription.
- Change the owner.
- Delete the business.
Ideal for: partners, managers, supervisors.
👤 Member / Professional
The person who serves customers but doesn’t administer the business. They can:
- View their own calendar and their bookings.
- Mark their bookings as completed or no-show.
- Create blocked time on their own schedule (vacation, time off).
- Edit their own profile (photo, bio).
- View their own statistics (how many appointments they handled, revenue generated).
They cannot:
- View other professionals’ calendars.
- View sensitive business data (total revenue, settings, billing).
- Create services, locations, discounts.
- Invite other users.
Ideal for: individual professionals on the team, assistants.

How to assign a role
The role is chosen when you invite the person. See Invite your team by email for the full flow.

If you need to change the role of someone who’s already part of the team:
- Go to Accounts and access in the sidebar.
- Find the person in the list.
- Tap the “⋯” menu at the end of their row.
- Choose “Change role”.
- Select the new role and save.
The change takes effect immediately — the next time the person logs into Citauno, they’ll see the new options (or lose access to the ones they no longer have).
Typical scenarios
Salon with owner + partner + 3 stylists
- Owner: Owner role.
- Partner: Admin role (sees everything, manages but doesn’t touch the wallet).
- Stylists: Member role (each one sees only their own schedule).
Chain with 2 locations and one supervisor per location
- Owner: Owner role.
- Location A supervisor: Admin role, filtered by location in the calendar.
- Location B supervisor: Admin role.
- Staff at each location: Member role.
Limitation: admins see all locations by default. There’s no “admin for location X only” role — if you need that strict separation, consider creating separate businesses per location.
Independent professional working solo
- Just Owner — no need to invite anyone else.
- You assign your own account as a Professional (see Add your first professional) and you’re done.
Transfer the business to another person
If at some point you want to sell or transfer the business:
- The recipient must have a Citauno account.
- In Settings → Advanced access, tap “Transfer business”.
- Enter the new owner’s email.
- The person receives an email with a link to accept.
- When they accept, you become an Admin (you don’t lose access) and the other person becomes the Owner.
Irreversible action. Once the transfer is accepted, control of billing passes to the new owner. Think it through.
Common errors
