Add your first professional or team member

Set up the profile of whoever will provide service (it can be you), their photo, identifier color, and working hours.
In Citauno, each person who serves customers is registered as a team member (we also call them a “professional”). Even if you work alone, you have to create a profile for yourself — the calendar needs to know who serves each appointment.
The difference between a personal account and a professional
- Personal account: your access to Citauno (the one you created with your email).
- Professional: the profile that appears on the calendar and on your public page. It has a photo, a color, the services they offer, and working hours.
A personal account can be linked to one or several professionals across different businesses. For example, if you work as a stylist at two salons, your personal account will have two professional profiles — one at each business.
How to get there
In the dashboard, go to Team in the side menu. If you’re just starting out, the list is empty. As you add professionals, you’ll see them with their role, identifier color, location, and status. Tap ”+ New member” in the top right.

Fields to fill in
Professional’s photo
Upload a square photo (at least 200x200 px) showing the professional’s face. This appears:
- On the calendar next to each booking (it helps you see at a glance who’s serving).
- On your public page when the customer chooses a professional.
- In the automatic reminders.
If you work alone: put up a professional photo of yourself, not a selfie. Photos build trust and increase bookings — customers prefer to book with someone they can “see”.
Display name
How you want this person to appear to customers. It can be a first name only, first name + last name, or a nickname.
Examples:
- “María”
- “María Benítez”
- “Mari”
Role or specialty
Free text of 1-3 words that describes what they do. It appears under the name on your public page.
Examples: “Stylist”, “Colorist”, “Esthetician”, “Tattoo artist”, “Therapeutic massage therapist”.
Bio
A short paragraph (2-3 sentences) that’s shown when the customer taps the professional’s name on your public page. Optional but useful for distinguishing professionals.
Example:
Specialist in scissor cuts and balayage techniques. 8 years of experience. By appointment.
Identifier color
Choose one of the 12 available colors. This color will represent the professional everywhere:
- The appointments they serve on the calendar.
- The blocked time they create.
- The label in the booking list.

How to choose: if you have a single professional, any color works. If you have 2-3, use clearly different colors (blue, red, green). As you add more people, avoid repeating — the system warns you if a color is already in use.
Professional’s email
Here it depends on the case:

| It’s someone else but they don’t need access to Citauno (you just want to show them on your calendar) | Leave the email empty. You manage everything from your account. |
Important: if you leave the email empty, this professional can’t log in, doesn’t receive notifications, and can’t see their calendar. It works only as a “manual” profile that you manage.
Phone
Optional. Useful if you need to reach the professional quickly (for example if they’re running late).
Assigned location
Choose the location where this professional works. If you only have one, it’ll be pre-selected. If you open another later, you can move the professional or assign them to several.
Services they offer
Here there are two options:
- All services (recommended for starting out): the professional serves any service in the business. Useful if everyone serves the same things.
- Only specific services: you check which ones. Useful when a stylist does cuts but not coloring, for example.
Tip: since you don’t have services loaded yet (we’ll create them in the next step), leave “All services” for now. You can change it later if you need to.
Active and bookable
- Active: if it’s off, they don’t appear anywhere. Useful for temporary professionals or those on leave.
- Bookable: if it’s off, the customer can’t book with this professional on the public page, but you can create bookings manually. Useful for assistants or support staff.
Receive calendar invitations
If this is on, every time a new booking comes in the system sends the professional an .ics file by email that’s added to their Google Calendar / Apple Calendar / Outlook automatically.
Recommendation: turn it on. It’s the most convenient way for each professional to keep their appointments synced with their personal calendar.
Working hours
By default, the professional inherits the location’s working hours (the ones you entered in the previous step). If their schedule is different:
- Tap “Customize hours”.
- You’ll see the same weekly grid as for the location.
- Modify the days/hours that differ.

Typical examples:
- The owner works all week but only half a day on Fridays.
- A colorist works only Monday, Wednesday, and Friday.
- A tattoo artist works full Saturdays but only Monday afternoons.
Blocked time (vacations, absences)
In this section, blocked time doesn’t appear yet. You’ll be able to create it from the calendar once the professional is saved. See Block off time (vacations, absences).
Save and link the account
Press Save.
If you entered your own email
The system detects that you’re the owner and automatically links the profile to your account. You’ll see a message saying “Professional linked to your account”.
If you entered someone else’s email
The “Access and invitations” section appears with a “Send invitation” button. Tap it. That person will receive an email with a link to create their Citauno account and accept the invitation.
While the invitation is pending, you can:
- Resend invitation (if they say it didn’t arrive).
- Revoke invitation (if you got the email wrong).
Once accepted, the professional will be able to log in and see only their own calendar.
If you left the email empty
Nothing extra happens. The profile is saved as “manual” — no access, no notifications.
Verify
Go to your public page (citauno.com/your-business/book) in an incognito tab. After choosing a service (once you have them), the professional should appear with their photo and color.
What you already have
- A professional profile with a photo, color, role, and bio.
- An account link (your own, invited, or manual).
- Working hours configured.
- Assigned services (all or specific).
