Events: WhatsApp invitations & RSVPs

How to create an event, load your guest list, and send WhatsApp invitations with attendance confirmation (RSVP).

If you organize events —quinceañeras, weddings, corporate parties— Citauno has an account type built just for that: create the event, load your guest list, and send the invitation over WhatsApp with buttons to confirm attendance. No calendar, services, or bookings — it’s a tool focused on inviting and tracking who’s coming.

1. Create your events account

On the “Create account” screen, choose “I organize events”. Signup is short: name and your contact WhatsApp number. Creating the account and loading events and guests is free — you only pay when you want to send the invitations (see below).

2. Create an event

From Events → New event, fill in:

  • Name (e.g. “Lucía María’s quinceañera”).
  • Date and time.
  • Venue (pick a saved location or type the address).
  • Invitation image (shown at the top of the WhatsApp message; ideally 1125×600, max 5 MB).
  • Optional: scheduled send, so invitations go out automatically on a date.

3. Load your guest list

On the event screen you can add guests three ways:

  • One by one: name, WhatsApp, and how many people the invitation covers.
  • Paste the list: if you have it in Excel or a chat, paste it into the “Have the list in Excel or WhatsApp?” box. Commas or semicolons both work, and we automatically flag duplicates and invalid numbers before importing.

Each guest has a party size (e.g. “valid for 2 people”) that appears in the message and in the totals.

4. Activate the module and send

To send invitations you need the Events Module (Gs. 750,000/mo, includes 500 messages). Activate it from the “Activate module” button on the event screen or under Subscription. That’s the only charge — everything before is free.

With the module active, tap “Send invitations now”. Each guest gets a WhatsApp with the event image and three buttons:

  • Yes, I’ll be there
  • Can’t make it
  • Remind me later (we resend the invitation in a few days)

Responses are recorded automatically: the event screen shows in real time who confirmed, who declined, who hasn’t answered, and the total headcount.

5. Which number does it send from?

  • Citauno’s number (recommended): zero setup, works today.
  • Your own number: guests see your name as the sender. Connect it under Reminders → Settings; it requires a Meta account with a payment method (Meta bills you directly for messages). WhatsApp reviews your invitation template before the first send (minutes to 48 h).

6. Credits and reminders

  • The module includes 500 free messages per month (they don’t roll over). Need more? Buy packs under Reminders.
  • An invitation uses 3 credits (Citauno’s number) or 1 (your own number); reminders and RSVP acknowledgements cost less or are free.
  • Under Settings → Events you set how many days ahead to suggest sending, and how often to resend to those who chose “Remind me later”.

7. If someone asks to stop receiving messages

If a guest replies asking not to be contacted, open their entry and tap “Do not contact”. That number never receives your messages again, on any event. This also protects your WhatsApp number’s quality.
