Your daily calendar: where to see everything at a glance

Learn to read the calendar, identify statuses, create bookings manually, and filter by professional or service.
The calendar is where you’ll spend your day. It’s the main operational dashboard: it shows what’s happening today, what’s coming up, who’s serving whom, and where there are open slots. This guide teaches you to master it.
How to get there
In the sidebar, go to Calendar (the second item, right after Dashboard). It always opens on today.

The two views
There’s a toggle above the calendar:
- Day: a single date, hours as rows and one professional per column. This is the view that opens by default.
- Week: 7 days as columns, hours as rows, all professionals mixed together. Best for planning on a computer.
Tip: your choice is remembered separately on your phone and on your computer. If you work in “Week” on the computer, your phone still opens on “Day” — which is the readable one on a small screen.
Moving between dates
Three ways:
- ”←” and “→” buttons: forward or back one day (or one week, depending on the active view).
- “Today” button: takes you to the current day.
- Date picker: pick a specific date from the floating calendar.
In week view you can also tap a day header to jump to that date’s day view.
Reading an appointment
Every appointment is a coloured block. Its height is the duration: a 60-minute appointment is twice as tall as a 30-minute one.
Each block shows:
- The start time and the client’s name at the top, with the professional’s avatar.
- The services, if the block is tall enough.
- Duration and price, if it’s taller still.
- A colour bar on the left edge, in the professional’s colour.
Tapping it opens a floating popup (drag it by its header to move it; Esc closes it) with:
- Status and booking code.
- The client’s contact details.
- Services, duration and total.
- Assigned professional.
- Notes.
Plus the action buttons: Reschedule, Confirm (if it’s pending), Cancel booking, Mark as completed and Mark as no-show (those last two if it’s confirmed).
To see the booking’s history — who created it, from where, and every status change — tap Open full page.
Statuses and their colours

| Emerald green | Confirmed | Active and approved. |
| Amber | Pending | Waiting for you to confirm, or waiting for the deposit to be paid. |
| Indigo | Completed | It happened and you marked it as done. |
| Rose with struck-through text | Cancelled, rejected or no-show | It no longer holds the slot (except a no-show, which does keep it taken). |
| Blue | Rescheduled | An old status; rescheduling today does not change a booking’s colour. |
| Dashed grey | Blocked | You covered that time. It isn’t a booking. |
| Diagonal stripes | Off-duty | The professional doesn’t work at that hour that day. |
| Solid grey | Location closed | The location isn’t open at that hour. |
By default the calendar shows pending, confirmed, rescheduled and completed. Cancelled and no-show bookings are hidden — tick their chip under “More filters” to show them.
Quick tip: if your calendar is full of amber, consider switching to automatic mode. If you see a lot of cancellations, review your policy and your confirmation mode.
Filters
Two filters sit above the calendar:
Location
Pick “All” or one in particular. If you only have one location, the filter still shows.
Service category
Useful when you offer many different services: for example, showing only facial treatments.
Advanced filters
Tap “More filters” to open the panel with the rest:
- Show: Bookings, Blocks and Breaks. Handy for getting blocks out of the way and seeing only appointments.
- Team: tick only the professionals you want to see.
- Status: show or hide each status.
The system remembers your filters per business and per device. Filter by one professional today and the calendar opens the same way tomorrow, until you tap “Clear filters”.
Creating a booking manually
When a client calls or messages you asking for a slot, you enter it straight into the calendar:
Method 1: drag on an empty slot
- Put the mouse over the day and hour where you want the booking.
- Drag downwards for the length you want. The range snaps to 15 minutes.
- The quick form opens with the date, time and range already filled in.
Dragging doesn’t work on a phone (it uses the mouse): just tap the slot.
Method 2: click an empty slot
Tapping an empty slot opens the same form with that start time. The end time is worked out from the service you pick.
The quick form
It asks only for the essentials:

| Client | Search by name, email or phone. If they don’t exist, open “New client?” and enter at least a first name. |
| Services | Tick one or several. Durations add up and the end time is calculated for you. |
| Professional | Whoever is free at that hour for those services, or “Anyone”. |
| Notes | Optional. |
| Initial status | Pending or Confirmed. It arrives on Confirmed. |
Tap Create booking. The client gets the email with the details if you entered their address; there’s no way to create the booking without notifying them.
Rescheduling an appointment
- Tap the appointment.
- Tap Reschedule.
- Change date, time, services or professional.
- Tap Save new slot.
On save, the client gets the email with the new time and an updated calendar file (their event moves instead of duplicating), and the reminder re-schedules itself. The booking keeps its status: if it was confirmed, it stays confirmed.
If the professional is no longer free at that hour, or the location is closed that day, the form won’t save and tells you why.
Blocking time
To cover a slot where you don’t want bookings (lunch, training, a few days off):
- Click or drag on an empty slot.
- In the form, switch to the Block tab.
- Choose what to block: the whole business, one or more locations, or specific members.
- Add a reason (optional) and check the start and end dates.
- Tap Block.
The system draws the block with diagonal stripes and nobody can book there.

Syncing with your personal calendar
Every professional with “Receive calendar invitations” on (it’s on by default) gets an .ics file by email with each new booking. Opening it adds the appointment to:
- Google Calendar
- Apple Calendar (iCal)
- Outlook
- Any calendar app that supports
.ics(nearly all of them).
The upside: you wake up and your 10:00 appointment is already in your personal calendar, with whatever alert you set up there. You don’t need to open Citauno to know.
If you reschedule the appointment later, a new file goes out that updates the event instead of duplicating it.
Shortcuts and automatic refresh
The calendar has no keyboard shortcuts: there are no keys for switching views or moving between dates, and double-clicking does nothing special. The only key that responds is Esc, which closes the open popup.
What it does do on its own: it refreshes every two and a half minutes, so bookings that come in while you have the screen open appear without you reloading anything.
Common problems

What you have now
- An understanding of the calendar’s structure (views, columns, colours).
- The ability to create manual bookings by dragging or clicking.
- The real flow for rescheduling and for blocking time.
