Export to Excel: your lists and reports in a spreadsheet

Updated on Sunday 01 November 2026

What you can export from the admin, who can, how to open the file in Excel or Google Sheets with accents and amounts intact, and what happens with large files.

The lists and reports in the table below have an Export button. It downloads a file you open in Excel or Google Sheets, with accents intact and amounts as numbers, ready to add up. No captcha and nothing to pay: your data is yours.

Excel (;) or CSV (,)

When you tap Export you pick the format:

  • Excel (;): for Excel in Spanish or Portuguese. Double-click it and each value lands in its column. Amounts use a decimal comma (12,50), so Excel adds them up.
  • CSV (,): for Google Sheets, Numbers or Excel in English. Amounts use a decimal point (12.50).

The first one in the list matches the language you use Citauno in.

In Google Sheets: File > Import > Upload, pick the CSV (,) file and let it detect the separator.

What you can export

Where What it has Who

Clients The list with its search: contacts, counters, total spent and whether they accept promotions Owner and admin
Sales and invoices One row per sale, with the filters applied Owner, admin and manager
Products The list with its filters; cost and margin only for owners and admins Owner, admin and manager
Inventory Every movement the filters pick, without amounts Owner, admin and manager
Sales → Reports Invoicing per day and margin per service Owner and admin
Commissions The period’s report and each professional’s detail Owner and admin
Analytics Each full ranking: services, professionals and clients Owner and admin
Packages → Reports The packages expiring soon, with the client’s WhatsApp Owner and admin
Courses Each course’s enrollments Owner, admin and manager
Sales → For the accountant (Paraguay) The month’s RG 90 register, as a ZIP, and the advance invoices Owner, admin and manager

Professionals don’t export. The health record, treatment notes and photos are in no file: one client’s data comes out as a ZIP from their card, under Privacy and data > Export data (owners and admins).

Your data in one ZIP

In Settings, at the end, Export my data > Prepare export builds a ZIP with one file per kind of data: clients (archived ones too), bookings, sales, services, prices per professional, team, commissions, packages and their movements, plus a README that explains the currency, time zone and separator. Owners and admins ask for it.

  • It arrives by email in a few minutes. The link works for 7 days and only with your account; then the file is deleted.
  • It works while the subscription is suspended, too.
  • One is prepared at a time, and another can be asked for an hour after the last one.
  • Health records, treatment notes and photos are not included: that data leaves one client at a time, from their card.
  • Nor are products, inventory, opening hours or the business settings. Products and inventory download with Export on their list; for the rest, email hola@citauno.com.

When you close the business we email it to you, and the closure screen lets you ask for it before confirming. For 90 days after closing you can ask for it again from your account, under My businesses > Closed businesses.

The filters you see are the file’s

The file takes the filters the list was loaded with, across all its pages. If you changed a filter, apply it before exporting.

Large files

If a Bookings, Clients, Sales or Inventory file runs past 5,000 rows, it is prepared separately and emailed to you within a few minutes. The link:

  • works for 24 hours;
  • opens only with your account: forwarded, it won’t open;
  • if you’re signed out, asks you to sign in and then downloads the file;
  • stops working if your role no longer allows that export.

If it expires, export the list again.

A limit to keep things running

Each person can export up to 20 times every 10 minutes. If you reach the limit, the admin tells you, and you can export again a few minutes later.
