Professional form: field by field
Updated on Wednesday 09 September 2026
Exhaustive reference for every field in the team member / professional form.
A reference for every field under Team → New or Team → Edit (/admin/<slug>/team_members/new or /admin/<slug>/team_members/:id/edit).
Only Owner and Admin can open this screen. The Manager and Professional roles don’t see it.
Identity
| Field | Type | Required | Description |
|---|---|---|---|
| Profile photo | Upload PNG / JPG / WEBP / GIF | No | Up to 8 MB. Cropped to a circle. Shows in the calendar, on your public page, and in emails. Depending on your account, you may also be able to search an image gallery instead of uploading a file. |
| Display name | Text | Yes | How the person appears to clients. E.g. “María B.” or “María Benítez”. |
| Role | Text | No | Their speciality. E.g. “Stylist”, “Colourist”. Appears under the name on the public page. |
| Bio | Textarea | No | 2-3 sentences shown next to the professional on the public page. |
| Default commission (%) | Number, 0 to 100 | No | The percentage this person earns on each service they perform. Blank = the business default is used. Doesn’t affect already-completed bookings. |
| Colour | 12-colour picker | No | The colour that identifies their bookings and blocks in the calendar. |
Available colour palette
1. #EF4444 (red) 5. #84CC16 (lime) 9. #3B82F6 (blue)
2. #F97316 (orange) 6. #22C55E (green) 10. #8B5CF6 (violet)
3. #F59E0B (amber) 7. #14B8A6 (teal) 11. #EC4899 (pink)
4. #EAB308 (yellow) 8. #06B6D4 (cyan) 12. #64748B (slate)
If a colour is already taken by another professional, the picker tells you who has it — but you can still use it.
Contact
| Field | Type | Required | Description |
|---|---|---|---|
| No | Only needed if you want this person to sign in to Citauno. Leave it blank and the record still works: you manage their schedule. | ||
| Phone | Phone with country code | No | Internal only. It doesn’t appear on the public page. |
The email field is locked (grey, not editable) once it’s tied to a linked account or a pending invitation — changing it would orphan the invitation link or the account. To free it up, revoke the invitation or unlink the account first.
App access (dynamic section)
This section only appears on saved records, and changes with the state:
| State | What you see |
|---|---|
| No account, never invited | Explanatory text plus a “Save and send invitation” button. With the email blank, it tells you to fill it in first. |
| Pending invitation | “Pending invitation to email. Expires date”, plus two buttons below the form: one to resend the invitation and one to revoke it. |
| Linked account | “✓ Name can already sign in”, plus an “Unlink access” button below the form. |
Unlinking the account also deactivates their Professional access in this business and revokes this record’s pending invitations. The booking history is preserved.
Assigned location
| Field | Type | Required | Description |
|---|---|---|---|
| Assigned location | Searchable selector | The form doesn’t enforce it, but in practice yes | The location where they work. New records come with the business’s first location pre-selected. |
Each record holds exactly one location: picking another replaces the previous one. With no assigned location the person doesn’t appear in the booking flow, and the services section tells you to pick one first.
Services performed
A toggle with two modes:
| Mode | Behaviour |
|---|---|
| Can perform all services (default) | They perform any active service in the business. |
| Off | The services appear as chips. Tap the ones they perform. |
Switching the toggle back on clears the specific selection.
Checkboxes
| Checkbox | Default | What it does |
|---|---|---|
| Active | Ticked | Untick it and the person disappears from the calendar, the listings, and new bookings. They only occupy a plan seat while active. |
| Accept bookings | Ticked | Untick it and clients can’t pick them from the public link; the team can still enter bookings for them by hand. |
| Email calendar invites | Ticked | Emails them a calendar event every time one of their bookings is scheduled, rescheduled, or cancelled. The booking still shows in their Citauno calendar either way. |
Member schedule
There is no “inherit the location’s hours” toggle: every record has its own weekly grid, always. When the record is created it comes pre-filled with Monday to Saturday, 09:00 to 20:00, Sunday closed.
For each day, Monday through Sunday:
- A Closed checkbox.
- Opening and closing time in HH:MM format.
- Breaks: add as many as you need (lunch, a snack).
- A 📍 reference showing the assigned location’s hours that day.
- The message “Exceeds location hours” when the member’s window is wider than the location’s. It’s a warning: you can save anyway, and the system clips to the location’s hours when offering slots.
Two shortcuts:
- Copy from location (top right): copies the location’s hours and breaks onto all seven days at once. It’s a one-time copy, not a permanent link.
- Copy (on each day): opens a panel to replicate that day — hours and breaks — onto the days you tick.
See Exceptional working hours per professional for how this combines with the location’s hours.
Blocks
The edit form doesn’t list blocks: it has a “View blocks →” link that takes you to the person’s record, Blocks tab, where you see their upcoming blocks and can create a new one.
The professional’s record
Tapping someone in the Team list opens their record, with four tabs:
| Tab | What it shows |
|---|---|
| Summary | Contact, locations, working hours, services, and bio. |
| Bookings | Their recent bookings. |
| Blocks | Their blocks that haven’t ended yet. |
| Performance | Total bookings, revenue this month, commission this month, busiest weekday, and utilisation over recent weeks. |
Validations
| Validation | When it fires |
|---|---|
| Display name required | If you leave it blank. |
| Email format | If you enter something that doesn’t look like an email. Blank is allowed. |
| Email locked | If you try to change an email already tied to an invitation or an account. |
| Colour format | The colour has to be a 6-digit hex value. |
| Commission between 0 and 100 | Outside that range it won’t save. |
| Photo: type and size | PNG, JPG, WEBP, or GIF only, and under 8 MB. |
| Seats available | Creating (or reactivating) an active professional with no free seats sends you to buy one: “You have no available seats”. |
Pre-filled on create
| Field | Default value |
|---|---|
| Photo | Empty (initials placeholder) |
| Commission | The business default commission |
| Colour | The first palette colour no other professional is using |
| Location | The business’s first location |
| Services | “Can perform all services” |
| Schedule | Monday to Saturday 09:00 – 20:00, Sunday closed |
| Active | Yes |
| Accept bookings | Yes |
| Email calendar invites | Yes |
Common problems
| Message or symptom | Cause |
|---|---|
| “You have no available seats” | You’ve hit your plan’s seat limit. Add a seat or deactivate another professional. |
| The email is greyed out and I can’t edit it | It’s tied to a linked account or a pending invitation. Unlink or revoke first. |
| No services show up to tick | The assigned location is missing, or that location has no services available. |
| I saved and the person doesn’t appear on the public link | Check Accept bookings, Active, the assigned location, and that their schedule has open days. |
| I deleted a professional and they’re still listed | The delete button deactivates them: they become “Inactive” and keep their history. |
