How to reduce no-shows at your salon or barbershop

Written confirmation, a reminder with an easy way to cancel, a clear policy and a record of who misses: what gets clients to turn up or let you know.

No-shows drop when the client confirms twice: once when they book, and again when a reminder lets them cancel with one tap if they can’t make it. Add a written cancellation policy, a record of who misses appointments and, for long services, an optional deposit. No single step gets rid of no-shows completely, but together they get far more people to let you know in time.

Why people don’t show up

It’s rarely bad intent. Most clients who miss an appointment simply forgot, booked two weeks ago and something else came up, or felt awkward about writing to cancel.

How hard it is to cancel matters too. If cancelling means calling during opening hours or waiting for someone to answer a chat, many people just do nothing. Each of these causes has a practical fix.

1. Confirm the booking in writing

A quick “sure, you’re in” in the middle of a chat is easy to forget. A confirmation with the day, time, service, professional and address sticks much better, especially if the client can save it to their calendar.

If you still take bookings over WhatsApp, always reply with all the details together in one message. That’s the message the client will look for on the day.

2. Send a reminder the day before

Twenty-four hours ahead is a good moment: the client can still rearrange their day, and you have time to offer the slot to someone else.

What matters is that the reminder gives them an easy way out. If the message says “reply CONFIRM or CANCEL” or has buttons, the person who can’t come tells you instead of disappearing.

3. Write a short cancellation policy

You don’t need a rulebook. Two or three sentences are enough: how much notice you ask for, and what happens if someone misses an appointment without telling you. For example:

If you can’t make it, please cancel at least 3 hours ahead. If you miss two appointments without letting us know, we’ll ask you to confirm by phone before your next booking.

Only write what you will actually apply. A policy nobody follows tells clients it doesn’t matter.

4. Keep a record of who didn’t come

Without a record, you remember the last person who missed an appointment and nobody else. Mark the no-show the same day, even when you’re in a rush, and before you accept a booking from a name that rings a bell, check their history.

Over time you’ll see a pattern: most people miss once and never again, and a few miss all the time. Those few are the ones who need different treatment.

5. Decide what to do with repeat no-shows

Going step by step works well:

  1. The first time, send a friendly message asking if everything is OK.
  2. The second time, ask them to confirm by phone before the appointment, or ask for an optional deposit by bank transfer that you note on the booking.
  3. If it keeps happening, stop taking their online bookings and ask them to message you to arrange a time.

6. Ask for an optional deposit only where it makes sense

A deposit, always optional and up to you, makes sense for long or expensive services: color, straightening treatments, nail extensions, bridal hair. A half-hour haircut rarely needs one, and asking for it on everything can put off clients who have always turned up.

If you do ask for one, explain in your policy what happens to the money if the client cancels in time and what happens if they don’t show up.

How to do it in Citauno

Confirmation when they book

When a client books online, they get a confirmation email with a calendar invitation and buttons to add it to Google, Outlook or Apple. No WhatsApp message is sent at booking time.

By default, online bookings come in as pending until you confirm them from the dashboard (Confirmation mode: Manual). If you’d rather they come in confirmed, switch it to Auto in the business settings.

One reminder with Confirm and Cancel

Citauno sends one reminder per booking, 24 hours ahead by default, and you can change that lead time in WhatsApp → Reminders. If the booking was made at short notice, the reminder moves to 3 hours or 1 hour before. A booking made less than an hour and a half before the appointment gets no reminder.

It’s sent by email, if the client has an email address, and by WhatsApp, if they left their number. You can switch each channel on or off. The WhatsApp message comes from Citauno’s number, not your business’s.

The WhatsApp message has two buttons: Confirm marks the booking as confirmed, and Cancel cancels it and frees the slot. There’s no button to change the time: the client cancels and books again, or messages you. The details are in the WhatsApp reminders guide and the notification templates.

The plan includes 50 WhatsApp messages per professional per month. If they run out, WhatsApp reminders stop until the next month or until you buy an extra pack, which doesn’t expire.

Cancellation policy

You write it in the business settings as free text. It’s shown on your public profile and when a client goes to cancel. Citauno doesn’t enforce it or charge anyone anything: it’s information so the client knows what you expect.

Mark no-shows and check the history

On the booking you have Mark as no-show. The client card shows how many bookings they made, how many they completed, their no-shows in red, their cancellations and how much they’ve spent in total, plus their full booking history. The statuses are explained in booking statuses.

If you have Analytics switched on (we switch it on by request), you see how many no-shows there were in the period, and it suggests what to do when there are a lot of them.

Block a number

From the client card you can tap Block client. The block applies to that WhatsApp number: it can no longer be used to book online. Your team can still add a booking for that person on purpose if you decide to give them another chance.

Online deposits, on request

Online deposits are a module we switch on by request, at no extra cost from Citauno, and they work only in Paraguay, through tpago, with your own tpago merchant account. With the module on, you choose the mode (optional, percentage, fixed amount or full payment), and each service can have its own.

With that module, paying the deposit confirms the booking, and if it isn’t paid within 24 hours the booking is rejected automatically. Refunds of a deposit taken through the module are up to you, outside Citauno. Outside Paraguay, a deposit can only be noted on the booking and settled by bank transfer. There’s more in the docs on deposits on request and in the guide to optional deposits for appointments.

An example

Picture a hair salon with two chairs and a colorist who works three days a week. Haircut clients almost always turn up, but every so often a long color appointment sits empty and the colorist spends the afternoon waiting.

The owner starts with the simple things: she writes a two-line policy, leaves the reminder at 24 hours and gets into the habit of marking no-shows when she closes for the day. Within a few weeks she knows exactly which few clients keep missing.

For color appointments she asks for an optional deposit by bank transfer and notes it on the booking. She talks to the clients who keep missing in person, and for one who doesn’t change, she blocks the number for online bookings. The colorist’s schedule stops having those lost afternoons, and when someone cancels, the cancellation comes early enough to offer the slot to someone else.

Frequently asked questions

Does Citauno charge clients who don’t show up?

No. The cancellation policy is there to inform, and Citauno doesn’t charge fines. If you want a guarantee, you can use online deposits, an optional module switched on by request in Paraguay, or a deposit paid by transfer and recorded on the booking.

Do all bookings get a reminder?

No. There’s one reminder per booking when there’s time to send it: a booking made less than an hour and a half before the appointment doesn’t get one. The client also needs an email address or a WhatsApp number on file, and for WhatsApp you need messages left.

Can the client change the time from the reminder?

No. They can confirm or cancel. If they want another time, they cancel and book again, or message you and you move the booking with Reschedule.

What if I block someone by mistake?

Tap Unblock client on the same client card and they can book online again.

If you want to try all this with your real schedule, you get 15 days free, no card needed. See how the online booking system for hair salons works, the booking system for barbershops, or go straight to pricing.
